Support for Symposia

BSM support for workshops, symposia and congresses

The Belgian Society for Microscopy (BSM) offers financial support to organizers of workshops, symposia and congresses on microscopy and/or microscopy related applications, both in material sciences/physics and in life sciences. The maximum number of such BSM supported meetings that will be sponsored each year is two (aiming for one in Life Sciences, one in Material Sciences/Physics). Depending on the available budget this maximum number can be evaluated each year.


Eligibility criteria

  • It should be a scientifically sound event on microscopy and/or its applications with solid organization background, organized in Belgium.

  • The meeting should be organized by a public or non-profit association or a group of individuals, at least one of the organizers should be a BSM member and at least one BSM board member should be on the organizing committee.

  • Support by the BSM will only be effectuated if the number of registrated participants exceeds 25.

  • The official event language is English (no other languages are permitted in any of the official scientific or technical presentations).

  • Applications for support of the event have to be sent to the secretary of the BSM at least 6 months before the start of the event.

  • The event has to cover topics on either Instrumentation & Methodology and/or on Material Sciences/physics and/or Life Sciences

  • The organizers have to offer a discount on the registration fees to students and BSM members.

 

If all eligibility criteria are met, the organizers additionally are to agree to

  • provide appropriate links to the BSM site on the event website, if applicable.

  • acknowledge the BSM on the event website and in all printed or published documentation.

  • adding the BSM logo at all appropriate places (covers, lists of co-organizers and sponsors, ...)

  • take out, together with the BSM, an insurance policy against force majeur in case the event exclusively takes place under the umbrella of the BSM and large financial commitments had to be made in advance (for eg)

  • provide the BSM with the final financial balance of the meeting and the original documents proving reimbursement of costs incurred within 6 months after the end of the event.

  • sign an agreement with the BVM that includes the general and financial rules for this support

 

BVM support

  • The BSM will provide support for a maximum amount of 1500 euros per event with a maximum amount of 750 euros per invited speaker).

  • In case the BSM acts as the main responsible organization and the event is closed with a positive balance, the local organizers have to reimburse the BSM, the reimbursed amount will not exceed the financial support granted by the BSM.

  • The BSM is able to provide technical assistance in the electronic distribution of information to all BSM members as well as to EMS members

  • The BSM is allowed to provide scholarships different from those offered by the organizers.

 

APPLICATIONS
Written applications should be submitted at least 6 months before the event takes place and at the latest by March 1st of the year in which the meeting will take place and should be sent by e-mail to the BSM secretary.
Applications have to contain:

  • event name and dates;

  • information on the organizing body;

  • www address or the event home page (optional);

  • anticipated number and names of invited speakers;

  • anticipated number of participants;

  • anticipated number of students & scholarships;

  • anticipated financial plan.

DECISION
• The BSM board’s decision will be communicated within two months after receipt of the application.
